1. Booking and Payment Process

• To confirm a spot on any Loop Vietnam tour, you must complete and sign our official booking form, indicating your agreement to these Terms & Conditions.
• A non-refundable deposit of 30% of the total tour price per person is required upon booking. This secures your reservation and is applied toward the final balance.
• The remaining balance must be paid in full no later than 14 days before the tour departure date. Failure to complete payment by this deadline may result in booking cancellation and forfeiture of your deposit.
• Loop Vietnam reserves the right to reject any booking request to ensure the safety, quality, and integrity of our travel experiences.

2. Cancellation Policy and Refund Structure

Our cancellation terms are designed to balance traveler flexibility with our operational needs:

• More than 7 days before departure: Full refund, including deposit.
• 3–7 days before departure: 50% refund of the total tour cost.
• Less than 3 days before departure: No refund can be issued due to short notice and committed arrangements.
• If Loop Vietnam cancels a tour due to extreme weather or natural disasters, travelers may choose to either rebook the same tour for another date at no additional cost or receive a full refund.

3. Modifications to Existing Bookings

We understand travel plans can change. Here’s how we handle modifications:

• Changes requested more than 14 days before departure are subject to a $30 per person admin fee, plus any cost differences for revised accommodations or activities.
• Requests made within 14 days of departure may be considered cancellations and rebookings, and subject to cancellation terms.

4. Travel Insurance Recommendation

Although not mandatory, Loop Vietnam strongly recommends all travelers purchase comprehensive travel insurance that covers:

• Trip cancellations and interruptions
• Medical emergencies and evacuation
• Lost, stolen, or delayed baggage
• Personal liability

This protection offers peace of mind and can safeguard you against unexpected situations.

5. Traveler Responsibilities and Expectations

We ask all Loop Vietnam travelers to:

• Ensure they hold valid passports, visas, and any necessary travel documents. Loop Vietnam is not liable for issues related to insufficient documentation.
• Provide accurate information during booking, especially regarding health conditions or dietary needs.
• Show respectful behavior to locals, fellow travelers, and Loop Vietnam staff, in line with cultural norms and group dynamics.

6. Loop Vietnam's Rights and Tour Management

To ensure safety and quality, Loop Vietnam reserves the right to:

• Remove any traveler whose behavior endangers the group, disrupts the experience, or violates local laws or social norms. No refund will be provided in such cases.
• Adjust tour itineraries due to unforeseen events, always aiming to offer comparable alternatives of equal value and experience.

7. Transportation Policies

When using transportation arranged by Loop Vietnam (buses, boats, domestic flights, etc.):

• The terms and conditions of the specific transport provider will apply alongside Loop Vietnam's terms.
• While we are not responsible for delays or disruptions from third-party providers, we will do our best to assist you in resolving any issues.

8. Weather-Related Cancellations and Flexibility

Traveler safety is our top priority:

• If a tour must be canceled due to dangerous weather or natural events, we will notify travelers as early as possible.
• You may choose to rebook for a later date at no extra charge or receive a full refund.

9. Governing Law and Dispute Resolution

• These Terms & Conditions are governed by the laws of Vietnam.
• In the event of disputes, both parties agree to resolve the matter in the Vietnamese courts.
• However, we always encourage open dialogue and will try to resolve issues amicably before resorting to legal action.
